How a marketing team organises its content and leads

Good content loses its value when it runs late, and a good enquiry is wasted when nobody follows it up. The fix starts with a clear way of working.

In many companies, marketing work is scattered across a group chat, a pile of files and a spreadsheet only one person updates. Posts go out late, the designer gets asked yet again for the latest version, and a new enquiry arrives while nobody can tell whether a colleague has already replied.

The problem is rarely a lack of effort. It is the lack of a shared way of working. What follows suits a team of two as well as a larger one, and it rests on two things: a clear journey for content and a clear path for each lead.

  1. Start from the goal, not the post

Before you fill a calendar, write down what you want to achieve over the coming period. Introducing a new service? More enquiries from a particular audience? Then choose a few themes for your content, such as explaining your services, answering common questions, and showing how your team works. Themes spare you the daily question of what to post today.

  2. Put all content on one calendar

The calendar is the reference where everyone sees what goes out, when and where. Give each piece at least the following:

    • The title or main idea.
    • The channel and the publishing date.
    • Who owns the copy and who owns the design.
    • Its current status.
    • Where the final file is kept.

Plan around the seasons that matter to your customers in Saudi Arabia, such as Ramadan, the Eid holidays, back to school and National Day, and do it well ahead rather than in the same week.

  3. Define the stages of content

When someone says a post is "ready", they can mean several different things. Agree on fixed stages instead, for example: idea, writing, design, review, approval, scheduled, published. Then decide who moves work from one stage to the next.

Approval matters most. If nobody knows who decides, everything waits. Name one person who gives the final yes, agree how quickly they respond, and keep feedback written in one place so it does not disappear into chat threads.

  4. Keep your files in order

A simple library of logos, images and approved copy saves hours of searching. Name files consistently, keep Arabic and English versions apart, and move anything out of date out of the main folder.

  5. Give every lead a path

A lead is anyone who has shown interest: someone who filled in a form on your site, sent a message or called. The first rule is to gather them in one list and know where each came from. For every enquiry you should be able to see:

    • Where it came from, and from which campaign if any.
    • Who is responsible for following it up.
    • What stage it has reached.
    • The next step and when it is due.

Then define follow-up stages that fit your business, such as new, contacted, interested, awaiting decision, then agreed or not a fit. When someone is not a fit, record why. Those reasons are among the most valuable things you can learn about your market: was it the service, the timing, or the audience you reached?

  6. Connect marketing and sales

Marketing often counts enquiries while sales complains about their quality. The cure is a short, regular session where the two review enquiries, their sources and their outcomes, then decide what to repeat and what to stop. What a salesperson hears from a customer is the raw material for your next piece of content.

  7. A practical way to begin

Do not try to introduce everything in one week. Begin with the calendar and its stages, then the list of leads, and let the habit settle before you add detail.

If you would like the whole team working from one place, the GenAI Hub marketing system brings together a content calendar, a board for its stages, and a list of leads with their campaigns, and our team prepares it and runs it with you.
